Conditions for Registration, Withdrawal, Attendance and Data Protection

After registration

Following your successful registration, you will receive an invoice (if a registration fee is charged). After paying the invoice, you will not receive a receipt. If you require proof of payment (e.g., for reimbursement) please use a copy of the invoice together with your bank statement indicating the payment.
HLRS has the right to request your proof of affiliation for a reduced price category.
Each participant wishing to enter the HLRS building must identify themselves, otherwise access to the building and the courses will be denied.


Withdrawal / Cancellation

If you need to withdraw your registration for an event, please submit a request to HLRS by letter, fax (+49 711 685 87219) or email (training@hlrs.de). The date for your withdrawal shall be the date of receipt of your written withdrawal at HLRS.

HLRS cancellation policy:
   • If you withdraw from an event more than two weeks prior to the event, you will not be charged.
   • For a later withdrawal, we will charge 60% of the participation fee up to one week prior to the event.
   • For withdrawals less than one week prior to the event, but no later than 11am on the working day (Mo-Fr) before
     the course starts, we will charge 80% of the participation fee.
   • For a withdrawal later than that, we will charge 100% of the participation fee.
HLRS reserves the right to exclude participants who do not attend a course without prior excuse from HLRS courses for a period of one year.

Registrants for an event may designate a substitute participant at any time and free of charge. The substitute will bear any fees for participation.

Please understand that we must reserve the right to cancel or change the format (e.g. to online) of an event due to low number of applicants, the absence of a lecturer, force majeure, or similar causes. If cancellations or necessary changes of the program occur, we will make every effort to inform you as early as possible. If we have to cancel an event, we will refund your participant fees immediately. Additional claims against HLRS are not permitted, except for cases of willful intent or gross negligence.

For courses with special prerequisites, we reserve the right to check your professional suitability for this course and, if necessary, to cancel a previously granted course admission.

For applications from countries that are not members of the EU or PRACE https://www.prace-ri.eu/members/ the following additional rules apply:
For online courses we reserve the right to cancel your participation up to two weeks before the course; in the case of a course fee, proof of payment must be sent unsolicited to training@hlrs.de at least one week before the start of the course.
In the case of classroom courses, we reserve the right to cancel your participation up to 4 weeks before the course starts;
In the case of a course fee, proof of payment must be sent unsolicited to training@hlrs.de at least two weeks before the start of the course.


Recording of events

If events are to be recorded, the content will be made available afterwards on our self-study materials website or used as material for other courses and similar offers. If we record a course, you will be asked for your consent in the registration form. Breakout sessions (used during the exercises) will not be recorded. The recording mainly includes the slides and the audio and video of the lecturer and you can turn off your camera and microphone at any time.


Right of Withdrawal

If you are a consumer within the meaning of Section 13 of the German Civil Code (BGB), you have the right to withdraw from this contract within fourteen days without giving any reason.

The withdrawal period is fourteen days from the day the contract is concluded.

To exercise your right of withdrawal, you must inform us (University of Stuttgart, HLRS, phone: +49 711 685‑87269, training@hlrs.de) of your decision to withdraw from this contract by means of a clear statement (e.g., a letter sent by post or an email). You may use the template provided at https://www.gesetze-im-internet.de/bgbeg/art_253anlage_2.html, but this is not mandatory.

To meet the withdrawal deadline, it is sufficient to send your statement concerning your decision to withdraw before the withdrawal period has expired.


Acknowledgement of Withdrawal

Once we have received your withdrawal, we will acknowledge the receipt without undue delay (e.g., by email).


Right of Withdrawal for Short‑Notice Event Bookings

If the booking is made less than fourteen days before the start of the event, by submitting the booking you expressly agree that we will begin providing the service before the expiry of the statutory withdrawal period.

The right of withdrawal expires upon fulfilment of the contract, i.e., once the booked event has been carried out.


Consequences of Withdrawal

If you withdraw from this contract, we will reimburse you for all payments we have received from you, including any delivery costs (except for the additional costs resulting from your choice of a type of delivery other than the least expensive standard delivery offered by us). The reimbursement will be made without undue delay and at the latest within fourteen days from the day on which we receive your notice of withdrawal. For this reimbursement we will use the same means of payment that you used for the original transaction, unless expressly agreed otherwise with you. You will not be charged any fees for the reimbursement.

If you requested that the services begin during the withdrawal period, you must pay us an appropriate amount equivalent to the proportion of the services already provided up to the time you exercise your right of withdrawal, compared with the total scope of the services provided for in the contract.


Data protection

Video conferencing tools are used for online events. Identification in the conference system is done by entering "First name Last name (company)". This and active participation in the course are, among other things, prerequisites for the issue of a confirmation of participation at the end of the module. To protect your personal rights, you can also identify with your initials or a freely chosen abbreviation instead of "First name Last name (company)". Please inform the course organization in advance so that your name can be assigned for the issue of the confirmation of participation.

If investigative measures are initiated because of attacks on the information technology systems of the University of Stuttgart, the data you submit may be forwarded to state investigative bodies. The same applies if appropriate authorities or courts address inquiries to the university and the university is obliged to comply with them.

The personal data identified above are stored according to budgetary or state law requirements for up to 10 years after course registration is processed (§ 14 UstG or 4.1 AnO Schriftgut).
